TOKYO CLINIC ("we", "the Clinic") operates a medical house-call service in Tokyo, Japan. This policy explains how we handle information in connection with our WhatsApp Business integration (Meta app "CGRW-C"), which we use to respond to patient inquiries sent to our WhatsApp Business number.
Information we process
- WhatsApp messages you send to our clinic number, your WhatsApp profile name and phone number, and message metadata (time, delivery status).
- Information you provide during an inquiry, such as your symptoms, hotel name and room number, and preferred appointment time, which you share so that we can arrange a house-call visit.
How we use it
- Solely to respond to your inquiry, arrange and carry out medical visits, prepare medical documents (receipts, invoices, medical certificates), and follow up on your care.
- Replies are prepared with AI assistance and are always reviewed and approved by our physician before they are sent. Medical decisions are made only by our licensed physician.
Sharing
- We do not sell personal information. We share it only with service providers necessary to operate this service (for example, Meta's WhatsApp Business Platform, which transports the messages) under their terms, or when required by law.
Retention and security
- Inquiry records are retained as part of our medical and business records in accordance with Japanese law and are protected by access controls. Access is limited to clinic staff involved in your care and operations.
Your choices
- You may ask us what information we hold about you, or request its correction or deletion, by contacting us at the address below. Deletion may be limited where retention is required by medical-record laws.

取得する情報： WhatsAppでお送りいただいたメッセージ、プロフィール名、電話番号、メッセージのメタデータ、および往診手配のためにご提供いただく症状・宿泊先・ご希望日時等の情報。
利用目的： お問い合わせへの返信、往診の手配・実施、領収書・請求書・診断書等の書類作成、診療後のフォローアップに限ります。返信文はAIの支援で作成されますが、送信前に必ず医師が確認・承認し、医療上の判断は医師のみが行います。
第三者提供： 個人情報を販売することはありません。本サービスの運営に必要な事業者（メッセージを伝送するMetaのWhatsApp Business Platform等）および法令に基づく場合を除き、提供しません。
保管と安全管理： 医療・業務記録として日本の法令に従い保管し、アクセス制御のもと、対応に関わるスタッフのみが取り扱います。
開示・訂正・削除のご請求： 下記連絡先までご連絡ください（医療記録の保存義務等により削除に応じられない場合があります）。
